SSC Graduate Programs Administrative Assistant
Description
The SSC graduate programs administrative assistant provides administrative support support to the seminary and graduate counseling programs by working directly with the director of the graduate counseling programs, the director of counseling internships, and all full-time faculty for the Seminary & School of Counseling (SSC). This position requires high attention to detail, timely follow-through, excellent written and spoken communication skills, and the ability to build positive and productive working relationships.
Responsibilities
- Assist with creating, maintaining, and organizing resources for graduate faculty.
- Ensure communications in Canvas and webpages are updated in a timely and accurate manner.
- Work with other SSC admins to ensure that scheduling and taking minutes for team meetings are completed.
- Communicate with the Counseling Advisory Council and send regular updates to the council.
- Communicate important information, updates or necessary changes with all SSC students, including Grad Life Council communications.
- Maintain a roster of current students, including information on the number of inquiries, the number of applicants, and number of students who are accepted for each term. Report student course enrollment each term to the counseling program director.
- Assist with data collection/annual accreditation tasks such as reporting, including mid and end-of-cycle self-studies. Assist with collecting, synthesizing, and reporting data regarding demographics, student retention rates, licensure exam scores, graduation rates, and graduate employment rates.
- Track student GPAs and send probation letters as needed in coordination with the dean’s office manager.
- Personal Performance Reviews (PPR) – completion tracking, reminders, schedule meetings with students, and complete meeting documentation.
- Counselor Education Comprehensive Exam (CECE) – serve as the point of contact for the scheduling of CECE. Maintain and track student records of registering and scores.
- Licensure support – maintain and distribute records for requests and track process.
- Collect syllabi for the counseling program and for all courses taught each semester and store electronically in the SSC portal for accreditation compliance.
- Assist with applications to the accelerated program for undergraduate psychology students.
- Provide associate dean with a list of new Seminary students on a regular basis.
- Send out weekly stage changes email to all faculty.
- Assist all SSC professors with various projects, as available.
- Plan and coordinate SSC events such as annual residency week, the Counseling Advisory Council dinner, new student orientation, graduate commissioning service, and other SSC faculty/staff events.
Qualifications
- Expert use of Microsoft Suite, especially Word, Excel, PowerPoint, and Outlook.
- Competent typing skills.
- Strong organizational, administrative, and customer service skills.
- Effective oral, verbal, and written skills.
- Ability to prioritize work and successfully meet deadlines.
- Ability to operate under pressure with minimal supervision.
- Able to operate copiers, scanners, phone systems, and fax software.
- A minimum of five years of administrative experience (higher education experience preferred).
- Familiarity with counseling licensing and counselor prep exams preferred.
- Bachelor’s degree (preferred).
