Description

The office manager serves as the primary point of contact for the Student Life office and is responsible for delivering professional, courteous, and timely service to students, faculty, staff, and visitors. This position ensures the efficient daily operation of the Student Life office and student center by coordinating front desk functions, supporting departmental administration, assisting with student communications and events, and maintaining office systems and procedures.

Responsibilities

Front Desk and Customer Service

  • Provide first-level customer service to students, faculty, staff, and visitors during regular weekday office hours.
  • Manage the main phone line and group email accounts, ensuring timely and accurate responses.
  • Document student visits and maintain office procedures and records.
  • Maintain a welcoming, professional, and organized front office environment. 

 

Office Operations and Facility Coordination

  • Oversee the maintenance and organization of the Student Life office and student center.
  • Monitor and manage inventory of office supplies and equipment, including printers and related materials.
  • Coordinate upkeep of shared spaces, including restrooms and furniture.
  • Manage facility reservations and room scheduling in collaboration with appropriate departments.

 

Financial and Administrative Support

  • Collect and submit all Student Life credit card receipts in Airtable and Center expense monthly, ensuring timely documentation and reconciliation.
  • Review and verify the accuracy of all Student Life credit card transactions to ensure compliance with institutional financial policies.

 

Chapel and Event Support

  • Assist with chapel logistics, including set-up, attendance monitoring, and coordination with chapel speakers prior to their campus visit.
  • Purchase and prepare speaker gifts in accordance with departmental guidelines.
  • Support event planning efforts, including room reservations and cross-departmental communication.

 

Student Communication Support

  • Assist in facilitating student communications through official channels such as social media, campus-wide emails, and digital campus slides.

 

Other Duties

  • Perform additional responsibilities as assigned by the Dean of Students in support of departmental and institutional objectives.

Qualifications

  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Willingness and ability to learn institution-specific systems such as Jenzabar One, Squarespace, Softdocs, and Ready Education.
  • Strong verbal and written communication skills.
  • Demonstrated customer service orientation.
  • Effective problem-solving and organizational skills.
  • Ability to multitask, maintain attention to detail, and manage responsibilities in a fast-paced environment.
  • Ability to handle sensitive situations with professionalism and discretion.
