Description

The Resource Sharing Program Manager is a paraprofessional position responsible for managing interlibrary loan services (ILL), electronic resources, textbook coordination, and assessment reporting. This role ensures accurate and timely access to physical and electronic resources, facilitates academic continuity through textbook availability and copyright review, and supports data-driven decision-making for library services. The position is critical to the library’s mission to support students and faculty with accessible, affordable, and comprehensive academic resources. This is a part-time, 20-hour-per-week position with potential for future expansion based on demonstrated need.

Responsibilities

Interlibrary Loan (ILL):

  • Manage all aspects of the ILL process, including borrowing and lending, using the TAPASA ILL system.
  • Maintain communication with lending and borrowing libraries to ensure timely exchange of materials.
  • Keep accurate transaction records and ensure compliance with institutional and national ILL policies.
  • Troubleshoot and resolve ILL-related access or delivery issues.
  • Report ILL trends and usage data as needed.

 

Electronic Resources Management (in KOHA):

  • Oversee the acquisition, activation, and maintenance of electronic resources in KOHA.
  • Troubleshoot access issues and communicate with vendors to resolve technical problems.
  • Monitor usage and cost-effectiveness of electronic resources.
  • Collaborate with the Assistant Library Director to ensure resource availability for library instruction.

 

Textbook Coordination and Copyright Review:

  • Review faculty-submitted textbooks for each course to assess availability through library-held or copyright-free or digital formats availability.
  • Notify the Access Services Manager of all approved copyright-free materials for student access via scanned format.
  • Communicate with the Assistant Library Director on electronic availability for instructional integration.
  • Refer all titles not available in eBook or copyright-free form to the Library Director for further acquisition consideration.
  • Maintain and update a centralized textbook tracking spreadsheet.
  • Provide final reports to faculty for each course outlining textbook status, access options, and copyright notes.

 

Dissertation Management and Scholarly Access

  • Upload CIU-completed and approved doctoral dissertations to OverDrive for digital access and archive.
  • Submit applicable dissertations to TREN (Theological Research Exchange Network) in accordance with institutional and copyright guidelines.

 

Assessment and Reporting:

  • Collect and analyze library usage data, textbook availability, and resource access metrics using Excel or equivalent tools.
  • Prepare regular reports to support strategic planning and accreditation documentation.
  • Collaborate with the Library Director on developing new assessment models or tools.
  • Provide annual textbook access and cost-savings summary for institutional reporting.

 

Operations and Access:

  • Open the library building at 7:30 a.m. Monday through Friday, ensuring timely and secure access for early patrons and staff.
  • Monitor morning operations and report any facility-related issues to the Library Director.

Qualifications

  • Bachelor’s degree required.
  • Experience with KOHA, SPSS and Excel strongly preferred.
  • Previous library experience, especially in ILL, electronic resource management, or academic support—is desirable but not required.
  • Basic understanding of copyright law and academic resource licensing.
  • Strong organizational and time management skills with attention to detail.
  • Ability to manage multiple workflows independently and efficiently.
  • Excellent communication skills for internal and external coordination.
  • Professional, customer-oriented mindset with a focus on service and accessibility.
