Description

The human resources associate performs complex administrative duties for the director of human resources and serves as the first-line authority for the implementation of HR policies and procedures. The human resources associate maintains personnel files, conducts new employee orientations, initiates the email and IT account process for all regular, temporary and adjunct employees; and administers onboarding and offboarding procedures with employees. The associate completes annual surveys for various accrediting agencies, manages the vacant position listings on the employment website, and supervises the applicant processor.

Responsibilities

  • Serve as a liaison for the implementation of human resources (HR) policies and procedures
  • Arrange interviews for potential new hire candidates with HR director; organize and review candidate files including application, references and other items needed.
  • Organize and assist with the annual summer new employee orientation, the supervisor training and other various HR programs.
  • Meet with all new regular employees for the onboarding process, orienting to CIU policies and procedures; maintain new and current personnel records ensuring required documentation is obtained.
  • Initiate the IT account set-up for all regular, temporary and adjunct employees working with the departments to ensure logins are assigned.
  • Oversee the offboarding process including scheduling exit interviews, providing important offboarding information, and updating database and employee files.
  • Manage vacancy requests including posting open vacancies, assisting with recruitment, and supervising the applicant processor.
  • Administer background record checks for all regular and temporary employees and volunteers.
  • Perform other routine administrative assistant duties including scheduling appointments for HR director, ordering office supplies, preparing reports and maintaining compliance.
  • Compile data and complete moderately complex internal and external surveys.
  • Assist with other HR tasks, such as the payroll process, as necessary.

Qualifications

  • Strong ability to maintain confidentiality is essential.
  • Ability to meet and deal tactfully and warmly with associates and the general public.
  • Possessing patience, discernment, fair-mindedness, and integrity.
  • Skill in composition, typing accurately with reasonable speed a variety of correspondence, reports, and other materials.
  • Experience with Microsoft Office Suite; computer, data entry and management skills.
  • Familiarity with human resources information systems (HRIS) platforms preferred.
  • Proven skill in office procedures, planning and organizing.
  • Ability to analyze problems and come to a reasonable solution.
  • Emotionally stable and flexible to deal with the unexpected.
  • Five years of experience as an executive level administrative assistant.
  • At least one year of experience in human resources office preferred.
  • Bachelor’s degree required.
