Description

The degree audit and graduation specialist supports the office of the university registrar by managing the university’s degree audit system and coordinating the degree conferral process. This role ensures the accuracy of student academic records, translates curriculum requirements into audit logic within the student information system, and supports reporting and database improvements. The role works closely with academic departments, registrar staff, and IT to maintain compliance with university policies and accreditation standards.

Responsibilities

Degree Audit Management

  • Design, update, and maintain degree audits based on approved curriculum and program requirements.
  • Translate academic requirements into accurate system logic for degree audits.
  • Test and validate audit functionality to ensure accuracy for faculty, staff, and students.
  • Maintain audit rules including prerequisites, substitutions, and transfer credits.

 

Graduation and Degree Conferral

  • Manage the degree conferral process and verify student eligibility for graduation.
  • Review academic records to confirm completion of graduation requirements.
  • Communicate with students regarding outstanding requirements.
  • Assist with commencement planning and coordination.

 

Data Management and Systems Support

  • Maintain accurate academic records within the student information system.
  • Collaborate with IT to support database maintenance, upgrades, and system enhancements.
  • Identify opportunities to improve efficiency and automate processes within the registrar’s systems.

 

Training and Collaboration

  • Train and support staff on data entry, reporting, and system processes.
  • Collaborate with academic departments and administrative offices to support accurate academic records and processes.

 

Policy and Regulatory Compliance – Maintain knowledge of and ensure compliance with:

  • Family Educational Rights and Privacy Act (FERPA).
  • American Association of Collegiate Registrars and Admissions Officers (AACRAO) records retention guidelines.
  • University catalog and curricular requirements.
  • Registrar’s office registration and records policies.
  • Accreditation requirements including Association for Biblical Higher Education (ABHE), Association of Theological Schools (ATS), Southern Association of Colleges and Schools Commission on Colleges (SACSCOC), and Council for Accreditation of Counseling and Related Educational Programs (CACREP), Commission on Collegiate Nursing Education (CCNE).
  • U.S. Department of Education reporting and recordkeeping regulations.

Qualifications

  • Strong analytical and problem-solving skills.
  • High attention to detail and data accuracy.
  • Ability to interpret academic policies and program requirements.
  • Strong organizational and time management skills.
  • Ability to communicate effectively with faculty, staff, and students.
  • Commitment to confidentiality and data integrity
  • Minimum of two years of experience working with database systems, student information systems, or related administrative software.
  • Microsoft Office (Excel, Word, Outlook).
  • Experience with student information systems (i.e., Jenzabar).
  • Bachelor’s degree required.
