Description

The Assistant Registrar for Academic Records is responsible for the management and integrity of academic records for students and alumni. This role ensures compliance with institutional policies, accreditation standards, and federal regulations, while delivering thoughtful, professional, and responsive support to students, faculty, staff, and external partners.

Responsibilities

Academic Records Management

  • Maintain accurate, secure academic records from enrollment to graduation.
  • Validate compliance with admissions-related academic documentation.
  • Assist with degree conferrals and degree audit workflows.
  • Monitor and enhance processing efficiency and response timelines.
  • Communicate academic requirements and enrollment responsibilities to students.
  • Support faculty and advisors through training and data tools.

 

Policy Compliance

  • Apply and uphold policies including:
    • FERPA guidelines
    • AACRAO record retention standards
    • Institutional academic catalogs and degree requirements
    • Accreditation standards (ABHE, ATS, SACS, CACREP)
    • U.S. Department of Education compliance for Financial Aid
    • NCCAA eligibility and compliance rules

 

Project & Operational Support

  • Maintain and update policy and procedure manuals.
  • Support semester preparation including system setup, orientation, and registration logistics.
  • Collaborate on annual catalog and academic policy updates.
  • Understand how registration and record processes integrate with and affect the processes of other University departments.
  • Conduct data integrity checks and compliance reporting to external agencies.
  • Assist with Commencement planning and related events.
  • Participate in faculty/staff meetings and cross-functional initiatives.

  • Proficiency in student information systems and reporting tools
  • Experience with office systems and data management
  • Bachelor’s degree required, master’s degree preferred.
