Description

This position fulfills the administrative requirements to process records of prospective students. The role supports the admissions department by moving students through the admissions process toward enrollment, assisting to establish and maintain departmental policies and procedures, and coordinating recruitment strategies. This role also supports the accuracy and integrity of admissions communications by overseeing system-generated letters, emails, and validating key admission data elements that drive scholarship estimates communicated to prospective students

Responsibilities

Application Processing & File Management

  • Receive and process incoming applicant documents, accurately and promptly entering information into the admissions CRM.
  • Support enrollment counselors with frequent communication regarding applicant documentation and provide guidance related to admission policies and procedures.
  • Assist in reviewing completed applicant files to confirm that required admission documentation has been received prior to final enrollment processing.
  • Support admissions operations by ensuring applicant records contain the documentation necessary for accurate evaluation and communication.

 

Admissions Communications & Print Management

  • Manage admissions email communications within the TargetX Email Builder platform, including creation, editing, and maintenance of funnel-based communication flows.
  • Oversee TargetX Print operations including creation and maintenance of admission print materials and management of daily admissions mail.
  • Perform quality assurance checks on admission communications to ensure accuracy of messaging, merge fields, and data used in automated communications.
  • Monitor incoming communications to the admissions department inbox and route messages to appropriate admissions counselors or staff members.

 

Eligibility Verification & Communications Accuracy

  • Review admission documents submitted by applicants to ensure required information related to scholarship eligibility are accurately recorded in the admissions CRM.
  • Verify accuracy of scholarship estimates included in admissions acceptance materials prior to distribution.
  • Identify discrepancies between admission documents and CRM scholarship estimates and resolve issues prior to student communication.
  • Serve as a quality control checkpoint to ensure scholarship information communicated through admission materials reflects documented scholarship policy.

 

Operational Support & Cross-Team Collaboration

  • Assist in monitoring admissions records to identify incomplete files or missing documentation and communicate follow-up needs to appropriate staff.
  • Capture and organize official applicant documents, both electronic and physical, ensuring records are complete and prepared for evaluation.
  • Assist in maintaining the policies and procedures manual for the admissions operations team by documenting business processes related to communications workflows and scholarship eligibility verification.
  • Assist in recruiting events as needed.
  • Perform other miscellaneous duties assigned by supervisor.

Qualifications

  • Experience in data entry, office functions, and database systems preferred.
  • Experience with CRM systems such as Salesforce/TargetX preferred.
  • Experience with Microsoft Office and Adobe products preferred.
  • Bachelor’s degree preferred.
