Summary:

The Office Manager contributes to the Office of Corporate Marketing and Communications’ successful achievement of annual goals and objectives by providing expert administrative support. The Office Manager serves as the “face” of the department by greeting guests, responding to emails, answering phones, and creating a welcoming and professional environment for staff and guests alike.

The successful candidate will be a self-starter who is organized and detail-oriented yet flexible and enjoys juggling multiple tasks with converging deadlines. Furthermore, the successful candidate will have the aptitude to learn new things, and the propensity to find solutions to complete tasks and/or address challenges.

Finally, the successful candidate will demonstrate the ability to effectively interact with people while exuding professionalism and maintaining strict confidentiality.

Responsibilities:

  • Serve as the “face” of the department by greeting guests, responding to emails, answering phones, and creating a welcoming and professional environment for staff and guests alike.
  • Contribute to the department’s successful achievement of annual goals and objectives by providing outstanding administrative support including developing office operations and procedures; coordinating correspondences and schedules; designing digital and traditional filing systems; overseeing supply requisitions; and providing timely reports.   
  • Keep the Director (and other team members as appropriate) informed by reviewing and analyzing reports and communications; summarizing information; identifying trends, etc.
  • Process Marketing Services projects by establishing digital project folders, securing required information from client(s), assigning coordinator(s), tracking expenses, and processing and reconciling invoices. Oversee bulk mail accounts by making deposits and tracking expenses.
  • Manage the corporate inventory room including hiring and supervising Marketing Intern(s) to count inventory, stock literature racks, hang and take down banners, and to facilitate order pickups and returns. Maintain a master schedule of banners displayed throughout campus.
  • Maintain an up-to-date and accurate department presence on MyCIU.
  • Perform general administrative functions as necessary including but not limited to:
    • Mail Merges
    • Report Preparation
    • Credit Card Statement Reconciliation
    • Scheduling and/or Planning Meetings
    • Spreadsheets
    • PowerPoint Presentations
  • Execute other related duties as required.

Education and Experience

  • Bachelor’s degree preferred.
  • Three years of related experience required.
  • Proficient in the use of Microsoft Word, Excel, and PowerPoint required, as well as demonstrating the aptitude to quickly learn other platforms as needed.
